Overview

Element has an opportunity for an Administrative Assistant, who is primarily responsible for managing all front desk duties e.g. relaying incoming telephone calls, greeting visitors/guests, facilitating incoming packages,  and providing excellent customer service in a professional manner.  This position also provides general administrative support for the laboratory by maintaining records, inventory, and logs as assigned.

 

Responsibilities

  • Answers a multi-line telephone system, takes accurate messages, and transfers telephone calls to the appropriate person in an efficient manner
  • Greets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrival
  • Assist guests with sign-in procedure per company safety and security requirements
  • Email phone messages as soon as they are received. Check left messages in voice mailbox and do follow-up to ensure delivery of messages.  Delivery of messages is utmost important  
  • Maintain a clean and neat kitchen, conference rooms, employee lounges and coffee area, always
  • Refills all coffee, tea and snack supplies as needed daily. Water the plants as needed
  • Order meals for visiting clients and employees when necessary
  • Receives signs and logs in/out for courier deliveries & shipping and notifies appropriate personnel that packages have arrived
  • Operates standard office equipment to include multi-line telephone system, calculator, computer/printer, and photocopy machine
  • Books travel and accommodation arrangements for employees and clients
  • Types of correspondence and various documentation in proper format and proofreads/distributes as assigned
  • Provide assistance with setting up and facilitating company events and presentations
  • Files correspondence and documents, as necessary

Skills / Qualifications

  • Minimum 1 year+ experience in an (front-desk) administrative support role/training or equivalent
  • AA degree or equivalent
  • Good computer literacy in MS Word, Excel, Outlook, Adobe Acrobat, and Google Apps
  • Excellent communication skills both written and verbal
  • Natural ability to multitask and prioritize with minimum guidance and supervision in a dynamic fast changing environment
  • Organized, fast learner, can work well independently and in a team environment
  • Must be very detail oriented
  • Excellent telephone and customer service skills
  • Able to lift, pull and push up to 50 pounds
