Administrative Assistant

Analytical Lab Corp proud to be part of Element, has an opportunity for a Administrative Assistant in our Eagan, MN Lab.  The Administrative Assistant will be responsible for a variety of office functions, including certification generation, invoicing, telephone answering, and reception in a fast-paced environment. The ideal candidate has high attention to detail, as well as exemplary project and time mangement skills. This will be a temporary position with the possibility of hire. 



  • Acts as back up to Triage Coordinator, disposes of test substances by discarding or returning substances according to established procedures and client requests
  • Sends reports and other client documents using the MFiles dcument notification software
  • Log in projects and test substances into the Master Schedule according to established procedures in a timely manner
  • Acts as the backup Archivist for the temporary and permanent archives by performing responsibilities including, but not limited to, signing out project files, updating archive records in database and archiving completed project files and other archive documents
  • Prepares project folders for archiving and electronic archiving according to GLP regulations
  • Performs administrative projects and tasks as requested by management
  • Coordinates with the Archive Manager in implementing and maintaining systems to ensure that quality documents are prepared, appropriate departmental deadlines are met, and work continues to flow efficiently
  • Communicates effectively with clients and Study Directors regarding reports, protocols, and all other projects
  • Responsible for occasional tasks such as arranging lunch for clients and other internal meetings, and other tasks delegated by manager

Skills / Qualifications

  • Up to two years’ applicable experience in a business, technical, or laboratory environment
  • Two or four-year college degree preferred
  • Strong computer skills, including Microsoft Word, Excel, and Outlook, and Internet.
  • Knowledge of business English, correspondence formats, spelling and grammar sufficient to proofread materials and to ensure the accuracy and completeness of written communications
  • Detail-oriented, organized and applies effective time management skills in order to meet all deadlines. Able to successfully prioritize and manage multiple tasks and numerous projects in a fast-paced environment
  • Strong written and oral communication skills
  • Experience with EPA or FDA Good Laboratory Practice Regulations (40 CFR Part 160 or 21 CFR Part 58) preferred
  • Ability to work some early mornings, evenings and weekends as needed
  • Knowledge of laboratory terminology preferred
