Quality System Administrator

Element has an opportunity for a Administrator to join our growing team. This is a great opportunity to develop your Administration career within a Global TIC business. The primary function of the Quality System Administrator (QSA) is to ensure the administrative aspects of maintaining the Quality Management System are completed in a timely manner in accordance with industry and customer requirements. The QSA supports the Quality department and also provides backup coverage for reception as needed.



  • Create and distribute various schedules and reports to Department Manager(s) using MS Excel, Word and Outlook
  • First-Time Right quality reports
  • Status of Proficiency Testing and Round Robin work orders
  • Internal Auditing schedules
  • Training schedules
  • Receive, verify, archive and maintain equipment calibration records
  • Maintain the Approved Vendor Listing
  • Keep the SharePoint record up to date
  • Search for vendor information online
  • Contact vendors as needed
  • Manage the Document Control system
  • Manage the workflow for reviewing and approving new and revised documents
  • Work with Department Managers to ensure training to new documents occurs in a timely manner
  • Maintain strict revision control
  • Support the Corrective Action system
  • Create and generate forms and reports
  • Maintain the Corrective Action log
  • Communicate deadlines to Department Managers and suppliers
  • Schedule cross-functional meetings as needed
  • Liaise with customers, suppliers, and employees on Quality System matters
  • Other duties as assigned

Skills / Qualifications

  • Self-disciplined and self-motivated.
  • Proficiency in Microsoft Applications (Word, Excel, Outlook, SharePoint).
  • Accountability to keep filing up to date and regularly purge unneeded or expired documents.
  • Ability to maintain a high quality of work with attention to detail while ensuring personal productivity and efficiency.
  • Ability to remain calm when faced with mounting pressure related to deadlines and multiple priorities.
  • Well-developed verbal and written communication skills to meet a variety of communication needs.
  • Strong and effective interpersonal skills that foster open upward and downward communication built on mutual respect.
  • Ability to interface with clients to determine their needs and provide a satisfactory outcome.



NOTE:  This position requires access to export-controlled commodities, technical data, technology, software, and services.  U.S. citizenship, U.S. legal permanent resident status, protected person status under 8 U.S.C. § 1324b(a)(3), or U.S. Government export authorization is required.
