Overview

We are seeking a highly organized, detail-oriented, and proactive individual to join our team as a Logistics & Work Order Coordinator. This role is essential to ensuring smooth operational flow from receiving shipments to finalizing work orders and handling outbound shipments. You will manage documentation, track project progress, and maintain vital communication with both internal teams and customers.

 

Salary: $22- $28/hour (Depending on Experience)

 

Responsibilities

Receiving & Processing:

  • Receive all incoming shipments and inspect contents.
    • For international shipments: verify that a TCQ (Technical Compliance Questionnaire) is assigned.
    • For domestic shipments: unpack materials, retrieve associated paperwork, and begin processing.
  • Scan paperwork and verify order information in the internal system.
  • Assign a Work Order (WO) to each processed job.

Work Order Completion & Job Handoff:

  • Assemble a complete work order package including Purchase Order (PO), Materials, Quote, TCQ (if applicable)
  • Enter finalized work orders into the internal tracking system.
  • Place the completed work order on the designated job shelf for production.

Outbound Shipping:

  • Coordinate the return of materials to customers using FedEx or other designated carriers.
  • Ensure accurate labeling, documentation, and tracking of outgoing packages.

Data & Tracking Maintenance:

  • Maintain and regularly update key spreadsheets including projects, blanket PO balances, jobs on hold, freezer log and customer shipment tracking (especially for large accounts)

Customer Communication:

  • Respond to customer inquiries and status updates primarily via email.
  • Ensure timely, accurate, and professional communication.

Skills / Qualifications

  • High school diploma or GED required.
  • Must be organized and able to handle tasks same-day when possible.
  • Fast learner who can adapt quickly to new systems and processes.
  • Strong computer skills, especially with Excel and basic tracking software.
  • Exceptional attention to detail and follow-through.
  • Ability to follow instructions and work independently with minimal supervision.
  • Prior experience in logistics, shipping, receiving, or packaging is highly desirable.
  • Comfortable managing multiple priorities in a fast-paced environment.
  • Effective written communication skills with a focus on email correspondence.

Work Environment:

  • Ability to lift and move boxes or materials up to 30–40 pounds on a regular basis.
  • Frequent standing, walking, bending, and reaching when handling incoming and outgoing shipments.
  • Manual dexterity for scanning paperwork, using a computer mouse, and handling small office or shipping tools (tape gun, box cutter, etc.).
  • Extended periods of sitting and working at a computer for data entry and email communication.
  • Ability to operate standard office equipment (scanner, printer, label maker) and shipping tools (FedEx software, handheld scanners).
  • Must be able to wear company provided PPE (e.g., closed-toe shoes, gloves) when handling shipments or walking in warehouse areas.

This position requires access to export-controlled commodities, technical data, technology, software, and services. U.S. citizenship, U.S. legal permanent resident status, protected person status under 8 U.S.C. § 1324b(a)(3), or U.S. Government export authorization is required. Any offer of employment is contingent upon the employer obtaining the necessary export authorization, including, if required, an export license from the U.S. Department of Commerce’s Bureau of Industry and Security, the U.S. Department of State’s Office of Defense Trade Controls, or other applicable government agency.
